Job Title: Customer Care and Distribution Manager

Flash Art is seeking a highly organized and service-oriented Customer Care and Distribution Manager to oversee subscriber relations, manage magazine distribution logistics, and ensure efficient coordination between editorial, production, and fulfillment partners. This role is essential to maintaining the quality of reader experience and the reliability of our international distribution network. The position is part-time (20 hours per week) and requires strong attention to detail, problem-solving skills, and the ability to manage multiple operational workflows in a dynamic publishing environment.

Customer Care & Subscriber Relations • Resolve delivery issues, claims for missing copies, and payment inquiries • Maintain accurate subscriber records in the database • Support reader engagement and retention initiatives Distribution & Logistics Coordination • Coordinate print run distribution with printers, warehouses, and shipping partners • Oversee domestic and international mailing lists and ensure data accuracy • Monitor delivery timelines and troubleshoot logistical issues • Prepare shipment documentation and track deliveries Administrative & Reporting Tasks • Maintain and update subscription and distribution databases • Generate periodic reports on subscriptions, renewals, and delivery performance • Monitor inventory levels and coordinate reprints when necessary • Assist with invoicing and payment reconciliation related to subscriptions and distribution • Support operational improvements in customer service and fulfillment processes

Previous experience in customer service, distribution, publishing, or operations management • Strong organizational and administrative skills • Excellent written and verbal communication skills • Proficiency with CRM systems, spreadsheets, and database management • Confident use of Google Workspace (Docs, Sheets, Drive) for day-to-day operations and file management • Familiarity with magazine or book distribution is an advantage

Part-time position: Flexible schedule, with availability during standard business hours • Based in Milan, with smart working available

A natural relationship-builder, comfortable engaging with niche bookshops and independent cultural spaces • Interest in publishing, contemporary art, or cultural production is beneficial
