The Opportunity
The Senior EU Grants Coordinator plays a pivotal role in advancing the Monash University European Research Foundation’s strategic engagement in European and international research funding programs. Supporting the Director, Strategy and Engagement and Senior Manager, Research, this position provides expert coordination across the full grant lifecycle, with a strong focus on developing competitive Horizon Europe proposals and ensuring the successful delivery of funded projects within a dynamic international research environment.
This position will be responsible for coordinating high-quality grant submissions and awarded projects across Horizon Europe and other international funding schemes, ensuring compliance with EU requirements and funding regulations. The role will oversee pre and post-award activities including proposal development, consortium coordination, budgeting, reporting, milestone tracking, financial monitoring and audit preparation. Working closely with researchers, project teams and university stakeholders across Australia and Europe, the Senior EU Grants Coordinator will also provide expert advice and training, contribute to governance and policy processes, support strategic communications and events, and build strong collaborative relationships with government bodies, partners and international consortia. In addition, the role will provide administrative and governance support to the MUERF Board of Directors and contribute to the continuous improvement of research management practices across the organisation.
The role requires extensive experience supporting complex research funding programs within a higher education or research environment, including both pre‑award and post‑award grant management. You must possess a strong understanding of Horizon Europe programs, particularly Pillar I and Pillar II funding schemes, alongside demonstrated knowledge of EU grant, financial and compliance requirements. Exceptional project management, analytical and stakeholder engagement skills are essential, as is the ability to manage competing priorities and deliver high-quality outcomes under tight deadlines. Fluency in English and proficiency in Italian, together with highly developed communication skills, attention to detail and experience using EU funding platforms and business management systems, will be essential to success in this role.
Please note: This role will be required to work on site in Prato, Italy. MUERF invites applications from candidates who can demonstrate valid and current EU work rights.
KEY RESPONSIBILITIES
Co-ordinate the delivery of high‑quality submissions and grant applications while ensuring compliance with EU requirements
Effectively deliver awarded projects, including managing documentation, deliverables, tracking milestones, monitoring financial requirements, ensuring compliance and periodic reporting
Undertake research, data analysis and management in areas of functional or service specialisation, including producing reports
Provide expert and authoritative advice, guidance and training as required in the areas of service, functional or administrative expertise
Lead the planning and delivery of project-related events, workshops, and communications, working alongside MUERF Europe teams and their Monash University counterparts to coordinate and support training activities
Contribute knowledge and expertise towards a range of processes, such as policy development, governance, management decision-making, change management, compliance, quality and performance reporting
Build and sustain relationships with an extensive network of stakeholders, including colleagues, government representatives, partners and consortia
Liaise between the MUERF European office, central research management, Faculties, and relevant Monash University departments to ensure consistency and coordination of research processes and practices across both entities
Provide administrative and governance support to the Board of Directors, including preparation of agendas, minutes, and board papers, and management of meeting logistics to ensure timely distribution of materials and accurate record‑keeping
Other duties as directed from time to time
A degree qualification in a relevant field with extensive relevant experience; or
Extensive experience and management expertise in technical or administrative fields; or
An equivalent combination of relevant experience and/or education/training.
Knowledge and Skills
Demonstrated experience in a higher education institution setting, providing both pre‑award support (funding opportunity scouting, consortium coordination, proposal development, budgeting, submission) and post‑award management (grant agreements, financial reporting, deliverables tracking, audits)
Demonstrated experience in research project management, including knowledge of EC rules for Horizon Europe (grant, administrative, financial, legal)
A strong understanding of Horizon Europe structures, particularly Pillar I (ERC, Marie Skłodowska‑Curie Actions) and Pillar II collaborative funding
Highly developed project management and organisational skills, with experience establishing priorities, managing competing tasks and meeting strict deadlines across multiple stakeholders
Demonstrated relationship management and consulting skills, including the ability to interact with, negotiate with and gain co‑operation from internal and external stakeholders
Well-developed analytical, research and problem solving skills, including data evaluation to inform decision making
Exceptional attention to detail and ability to think critically
Highly developed interpersonal and communication skills with the ability to prepare professional documentation for various audiences and provide expert advice in areas of specialised or functional knowledge
Advanced computer literacy, particularly with current business management software packages, their various applications and familiarity with EU funding portals (Funding & Tenders Portal, eGrants)
Specific Requirements
Must hold existing working rights in Italy (EU)
Travel within Europe and to other campuses of the University may be required
There will be a requirement to work outside of normal hours to accommodate collaboration with Australia, additional hours from time to time
There may be peak periods of work during which taking of leave may be restricted
