For our own projects, we are looking for:

Subcontract Administrator

Mission The selected candidate will be responsible for subcontract administration activities at construction site level, supporting the management of Civil, Mechanical, and Electrical & Instrumentation construction contracts. The role will involve coordination with contractors, quantity surveyors, project teams, and client representatives to ensure proper execution and administration of subcontractual and commercial activities throughout the project lifecycle.

Tasks

Participate in subcontractor kick-off meetings and support the administration of contractual procedures, payment certificates, insurances, and guarantees

Review and support approval of Contractor progress payment certificates (PPCs) in line with contractual requirements

Manage and coordinate change orders (CHOs), extra works, and additional compensation requests with subcontractors

Organize and coordinate subcontracting meetings and maintain related documentation and reports

Support unit rate accounting verification activities and coordinate with Quantity Surveyors and subcontractors regarding contractual measurements and commercial matters

Assist in the management of claims, back charges, penalties, and subcontract close-out activities

Monitor contractual correspondence, subcontract documentation, bank guarantees, and insurance validity

Support dispute resolution and claims assessment activities together with the Subcontract Administration Manager

Education & Experience

Engineering degree or technical diploma qualification

Minimum 5 years of experience in subcontract administration activities on construction sites within Chemical, Oil & Gas, or industrial projects

Previous experience administering Civil, Mechanical, and Electrical & Instrumentation construction contracts is preferred

Experience supporting progress payment certificates (PPCs), change orders (CHOs), claims, variations, subcontractor coordination, and commercial administration activities

Familiarity with subcontract administration procedures, contractual documentation, unit rate accounting, and contract close-out activities

Good knowledge of Microsoft Office applications, particularly complex Excel files

Strong communication and coordination skills within multicultural and integrated project teams

Ability to supervise and coordinate Quantity Surveyors is considered an advantage

Proficiency in Italian and English

Duration: 12 months (extendable)
