What We Are Looking For:

Reporting to the Chief Operating & Transformation Officer, as an Executive Assistant you will provide direct and proactive support, managing calendar, communications, and access to optimize their time and ensure smooth coordination of all related activities.

The ideal candidate is proactive, enterprising, and able to work under pressure with strong interpersonal skills that enable them to interact effectively with senior-level stakeholders.

 

Key Activities:

Direct and personal support

 

  • COTO's calendar management and time protection;
  • Email and inbound communications filtering: understands what requires immediate attention and what can be handled or deferred;
  •  Meeting request filtering: evaluates, screens, and manages people seeking access to the COTO;
  • Communication anticipation: lays the groundwork before the COTO needs to intervene directly;
  • Travel support: available to accompany the COTO on trips, takes notes, handles on-site logistics.

 

Coordination and stakeholder management


  • Interface with other assistants and secretarial staff across the group to resolve issues independently;
  • Coordination among functions reporting to the COTO (HR, Business Development, M&A, Planning & Control, PMO & Transformation, IT);
  •  Materials preparation, meeting follow-ups, drafting minutes and notes;
  • Travel management: flights, trains, hotels, transfers.

 

 

Qualifications:

 

  • Currently completing or recently graduated from a Master's degree (Economics, Management, Law, or similar);
  • Fluent English, written and spoken,
  • Previous experience in structured environments, even if brief;
  • Full confidentiality and discretion;
  • Proactive, able to work under pressure, with strong prioritization skills;
  • Excellent interpersonal skills (comfortable navigating interactions with senior-level stakeholders);
  • Available to travel and/or occasionally work late.
